your application to be deemed complete and ready for consideration.
- Complete the Application Form, providing all the information requested.
- A complete application will include a deposit relative to the amount of
space applied for. The minimum deposit is CDN $2,000 for a 200 sq. ft. space.
Please attach the following information as separate document(s):
- A brief statement describing the programme and artists to be presented
at Art Toronto including solo artist presentations, group presentations
and special projects.
- Gallery exhibition schedule for last 12 months including other art fairs.
- Minimum of four (maximum eight) low resolution digital images of
works you propose to present at the fair. Images must be emailed
in the form of attached JPGs to info@arttoronto.ca.
- Any other promotional material pertaining to your gallery and artists
represented is welcome. All material must be digital and emailed
to info@arttoronto.ca; please do not mail CDs, brochures or
printed material.
Art Toronto Advisory Committee will review all the applications based on
quality and appropriateness of the works presented according to the Fair’s
established standards and directions.
Letter of Acceptance will be provided to successful applicants when the
selection process is completed.
Those applications not accepted will be notified and their deposit refunded
less the wire transfer fee (if applicable) and a $50 administrative fee.
Upon acceptance exhibitors will receive the Exhibitor Services Package
containing all forms and information required and relating to: schedules,
deadlines, booth design, lighting, additional walls and doors, telephone/
internet, taxes, customs clearance, etc.

As per Canadian Federal and Ontario Provincial Law the Harmonized Sales Tax (HST) must be
applied to all goods and services bought in the province of Ontario and will be calculated onto
all invoices received from Show Management.
ART TORONTO reserves the right to make all exhibitor placements
at its sole discretion. Special requests concerning location and
space requirement will be considered based on number of booths
ordered and date of receiving application and deposit, but cannot
be made a condition of participation. ART TORONTO may, if
necessary, change the location as well as change the shape of the
stand if circumstances demand.
ART TORONTO reserves the right to refuse or request the
replacement of an image for the official show catalogue.

TERMS AND CONDITIONS OF PARTICIPATION

Art Toronto 2014 is managed by Informa Canada Inc. (“Show Management“). These Terms and
Conditions of Participation govern the Exhibitor’s participation in ART TORONTO 2014 (“the Show”)
also known as Toronto International Art Fair (TIAF). Show management reserves the right, at
any time, without notice, to alter these conditions and make any additional conditions and rules
of participation. The Exhibitor agrees to be bound by the conditions set forth below and by any
subsequent condition that Show Management may institute in connection with the Show.
Submission of an application to participate in the Show constitutes the Exhibitor’s acceptance
of the conditions set forth below and any subsequent conditions related to the show.
1. Application
Application for space may be made only on the official form and should be sent to Show
Management by mail, e-mail or by fax. All exhibit applications are subject to acceptance as
described below (section 2) and in the Application Procedure.
Applications will be considered only upon receipt of the official application form accompanied
by a deposit.
2. Admission
The Show Management shall be the sole and final judge of all applications and may accept and
reject applications in its unrestricted discretion. The exhibitor guarantees that all the information
in his/her application is accurate and that all work submitted for exhibition is authentic. The
exhibitor shall indemnify Show Management and its principals, agents and employees, and hold
harmless, for and from any and all loss and damage, cost and expenses, including attorneys fees,
in connection with any claims whatsoever, including copyright infringement claims, for which
Show Management might be sued or held liable related to work submitted by or through Exhibitor.
3. Co-Exhibitors
No exhibitor may sublet or share his/her booth either entirely or partially without express consent
from Show Management and the Advisory Committee. Products, exhibitors or individuals other
than those specified in the application may not be shown in the booth.
4. Booth Presentation and Official Catalogue
To preserve the neat and consistent look of the exhibition, all booth walls are solid white panels
(except special projects). No exhibitor will be permitted to alter the colour of the walls. Noncompliance
will result in financial penalty or exclusion from the show. All artwork on display must
be installed at all times. It is the exhibitor’s responsibility to ensure a storage area is included
in the final booth design. Show Management reserves the right to remove any object that does
not meet exhibition requirements. Exhibitor will not be permitted to dismantle display before
the official closing time. Exhibitor agrees not to disturb or begin packing until official closing
time and all customers left the floor. Non-compliance may result in loss of future opportunity
to exhibit at Art Toronto.
NOTE: Art Toronto reserves the right to refuse or request the replacement of any image for
the official show catalogue that it deems to be non-compliant with the editorial standards set
out by Show Management.
5. Space Assignment
Show Management has the right to limit the space assigned to exhibitors, and cannot guarantee
a certain space. There are no rights to sight-lines or locations. All or any part of the space designated
is subject to reassignment and rearrangement by Show Management for the purpose of consolidation
of display space, expansion of the exhibit area, or for any reason. Exhibitor acknowledges that
the particular space and overall configuration of the designated space may change from time to
time prior to the show. Any such reconfiguration may require the space assigned to exhibitor be
reassigned and rearranged by Show Management.
6. Show Access and Security
Exhibitor may not enter the show area before one hour prior to the show and must leave the
show area at the close of the show. For special situations after or before hours access to the show
can be granted and shall be requested from the Show manager at least 12 hours in advance.
Exhibitor agrees to cooperate with any security program adopted for the show, for general access
and such special access, without any limitations. Procedures and limitations are established by
Show Management for all movement of personal property and persons into and out the Show
premises. Show Management reserves the right to refuse admission to any person or persons
including children of tenants, their employees or representatives, attendees or visitors, in the interest
of welfare, safety and security.

7. Payment
Upon acceptance, exhibitors will be invoiced the total booth rental cost and the deposit received
with the application will be credited to the exhibitor’s account. Payment can be made to Show
Management in installments as follows: the first half of the balance is due upon acceptance;
the second half is due before October 1, 2014. Any exhibitor whose space rental has not been
paid in full by the opening date will not be permitted to exhibit and, in such event, Show
Management may cancel the exhibitor contract, reallocate the space and retain any payment
made. Show Management may cancel the exhibitor contract, reallocate space and retain any

the space rental. Failure to make payments by deadlines will result in automatic charges to
exhibitor’s credit card.

applied to all goods and services bought in the province of Ontario and will be calculated onto
all invoices received from Show Management.
Credit card information that is submitted via e-mail will not be deemed valid due
to safety and compliance.
8. Withdrawals and Cancellation
Any exhibitor may cancel his/her contract until May 15, 2014 upon agreement to forfeit the deposit.
After May 15, 2014 any exhibitor who withdraws or cancels his/her contract will remain obligated
to pay the full amount of the space rental and any further costs that may have occurred. Any
exhibitor who fails to occupy his/her booth by 3:00 pm on October 23, 2014 will forfeit his/her
right to occupy the booth and exhibitor shall remain liable for the full rental and any additional
cost incurred.
9. Insurance and Exemption from Liability
Each exhibitor must obtain insurance coverage for damage or loss due to fire, theft, burglary, breakage,
leakage and water damage, and the risk of transport to and from the exhibition grounds. The
exhibitor agrees to maintain adequate insurance to fully protect the Show and Show
Management, its sponsors, its service contractors, and the exhibition facility from any and all
claims arising from exhibitor activities. It is the sole responsibility of the exhibitor to obtain and
carry commercial general liability insurance of at least $1,000,000.00 per occurrence. In any event,
the exhibitor assumes all risk of loss related thereto. The Show Management will not be liable
to any exhibitor for any direct, incidental or consequential damages or loss to exhibitor or his/her
property or bodily harm arising from or connected with exhibitor’s participation. Prior to admission
to the show, all exhibitors will be required to sign a form releasing Show Management from
liability.
10. Electrical Services
Booth lighting, wiring and outlets shall be at exhibitor’s expense unless otherwise indicated by
Show Management. Show Management will use its best efforts to provide common area lighting
and air-conditioning, but shall not be liable for any loss due to failure or interruption of any
service. No exhibitor is allowed to install his/her own power connections. Fire, safety and security
regulations must be adhered to.
11. General
Signatures of Exhibitor and representatives on copies of the exhibitor application / contract
transmitted by electronic or telephonic means shall be deemed as originals for all purposes
hereunder, shall have the effect as originally drawn signature and shall be binding upon Exhibitor.
Exhibitor hereby grants to Show Management an irrevocable, non-exclusive license to use
Exhibitor’s Trade Name, together with a description of nature of Exhibitor’s business, in any television,
radio, video, print, electronic, social media, and other advertising, marketing and PR program
of Show Management, and Exhibitor shall cooperate with Show Management in carrying
out such activities.
Show Management is entitled, in the case of compelling reasons or Act of God, to postpone, change
the dates or venue and shorten or extend the exhibition. Show Management reserves the right
to expel from the exhibition any exhibitor who violates the rules and conditions related to the
show as in effect from time to time. The exhibitor will remain liable for the full amount of space
rental and any additional charges incurred. The provisions of this agreement shall be governed
by and interpreted in accordance with the laws of the Province of Ontario and the law of Canada
applicable therein and each of the parties hereto by their execution of this agreement irrevocably
attorns to the exclusive jurisdiction of the courts of the Province of Ontario.
The Terms and Conditions of Participation are the final and exclusive agreement
between Show Management and exhibitor.
