Shipping Guidelines, Move-In/Move-Out
Art Toronto operates using Tariff Item 9993.00.00.00 / Customs Memorandum D17-1-5 which gives the fair exhibitors a special status of being able to bring artworks duty-free temporarily across the border for on-site clearance by Art Toronto’s official customs must be re-exported within the required time frame (prior to Friday, December 12, 2024). For sold artworks remaining in Canada, HST (13% Harmonized Sales Tax) will apply.To simplify the import process and ensure a smooth entry process, international exhibitors should follow the requirements outlined in the Customs Letter of Recognition. To receive a copy of this letter, please contact Ross Jennings at ross.jennings@informa.comFor any specific scenarios such as driving artworks across the border, or hand-carrying artworks on plane, please contact our office directly for further information about trouble-free entry into Canada.
Installations
Art Toronto proudly presents our extraordinary Installation program, showcasing groundbreaking contemporary art across the fair floor, the lobby of the Metro Toronto Convention Centre, exclusive Event Spaces, and our VIP Lounge. This dynamic program offers visitors immersive and thought-provoking experiences that complement our gallery presentations. To review our 2024 Installations, please click here. We welcome all proposals for free-standing, wall mounted, hanging and plinthed works. While the space provided will be free-of-charge, exhibitors will be responsible for the cost of any additional requirements including, but not exclusive to, power, rigging, and plinth hire. If you would like to submit a proposal, please use this link. Note: If you have previously discussed or shared details of an installation with Mia (mia@arttoronto.ca) or Ross (Ross.Jennings@informa.com), you still must complete the linked form.
Liability Insurance, Health & Safety
Exhibitors are required to be adequately insured to have a booth onsite at Art Toronto. Exhibitors are required to always maintain both public liability and employee liability insurance against personal injury, death, and damage to or loss of property, as those terms are defined by commercial general liability insurance policies, with limits of not less than $5,000,000 CAD per occurrence or per claim. Informa shall be entitled to inspect the Client’s insurance policy on request.

Booth Displays, Booth Regulations
Galleries must display artwork that is consistent with their application, and which has not been previously exhibited at Art Toronto.Galleries are encouraged not to overhang their booths either by content of artwork installed or through salon style hanging.Galleries cannot use hammer and nails to install artwork. Use of a hammer will cause vibrations that can lead to the dislodging and damage of your own, or other exhibitors, artwork.Galleries are not permitted to re-hang or re-install their booths, inclusive of the use of power tools and/or ladders, during show hours. Artworks may be replaced should they meet the following criteria: the replacement must be like-for-like in size, and not require the installation of any additional hardware. Galleries may not display artwork on print racks in their booth.Galleries may not have any uninstalled artwork laying on the floor or propped up against booth walls or leaning on shelves. (Should this be a part of an artist's installation please seek show management approval.)Galleries may not have draped tables in their booth.Artwork, additional materials or booth furniture may not extend beyond the perimeter of your booth into the aisle or other public space.Exhibitors planning to have an open flame or materials such as sand, soil, grass etc. in their booth must receive prior approval from show management.
Signage, Booth Regulations
In line with our sustainability goals, single use plastic or vinyl lettering is strongly discouraged. Should you choose to include any additional signage we strongly recommend that you source recyclable, biodegradable or, where applicable, reusable materials.If you cannot find a suitable alternative to vinyl, then we encourage you to work with your preferred printer to use ‘waste’ (excess from a previous job that would have been otherwise discarded) vinyl. Recommend suppliers:Art Toronto works with several recommend suppliers who are familiar with our sustainability criteria and can assist you in finding signage alternatives. Please read the following rules and regulations on booth displays and signage carefully, as you will be required to sign that you have acknowledged and understood the following information.Show management will review all booth displays and signage for any rule infractions prior to the show opening, any materials found in breach of the outlined parameters with be subject to removal by show management at any time during the show.

Merchandise Pass Information, Sales
Distribution & PurposeMerchandise passes will be provided to gallery directors or authorized representatives during exhibitor registration at show set-up. These essential security documents govern the removal of any artwork from the exhibition premises.

Event Security Services, Health & Safety
Show management will provide 24-hour uniformed security guard service, from the beginning of booth set-up on Wednesday, October 22, 2025, at 8:00AM and will cease upon conclusion of dismantling on Monday, October 27, 2025, at 12:00PM.Please be aware that during show set-up and dismantling security guards are not able to check what artwork is being brought in or out, what is being crated and for whom. Therefore, please be alert and make sure you do not leave the premises until all of your artwork is either hung, stored, crated or packaged, labeled and ready for shipping.Upon show opening nothing can be removed from the show facilities unless accompanied by a merchandise pass.After booth set-up, exhibitors will not have access to the show floor after close of show until 1 hour prior to show open the following day. Exhibitors needing to access the show floor earlier in the morning may sign up for access through the Show Office. Security will refuse access to all personnel who do not have show management permission to access the show floor prior to 1 hour before the show opening. Exhibitors may access the show floor at 10:00 am on Friday, Saturday and Sunday.Exhibitors wishing to obtain additional security services, please contact the Art Toronto office.
